Event as such is not something which
comes in to the existence all of a sudden, in fact it was there, it is
there and it will be there. It is one of the most important features of
our life. It may take place on its own or it can take place in a
controlled environment. Event management is nothing but making an event
take place in a controlled environment so that unpleasant or undesirable
things may be prevented from happening and desired goal may be achieved
without any kind of wastage of resources be it material or human.
Though it is not a new concept and people have been managing events
according to their own capabilities, resources and imagination yet it
has got a new form and appearance with such upcoming organisations which
offer to manage events. In such cases an event becomes a collective
responsibility where there are different thoughts, different ideas,
different imaginations aiming to make a particular event take place
according to plan and management.
Event management
is possible only when a procedure is followed. It begins with the
decision of holding an event and proceeds through the process of
selecting 'who' part in other words the group or organisation assigned
with the responsibility of making the event take place; planning,
financial issues, making a clear and feasible schedule, bringing the
plan into action and finally comes the terminal point which is
evaluation. At this stage two factors come into play: evaluation of the
event in terms of goals achieved and learning for future event management.
Venue or place of event is as important as proper planning and timely
execution of the plan as far as the success of an event is concerned.
There are certain things to be kept in mind before a conference venue
is finalised. Nature of event, class, age group, taste of the people
who are supposed to come to the event, accessibility in terms of
transportation, sufficient infrastructure and compatibility with other
services and products which may help to become the event successful.
There may be a question why do we need it? Have we not done without
hiring in the past? Yes, we have done and that also up to our
satisfaction without hiring but then also we had a close knit social
circle used to comprise of committed and selfless people who could
devote their time and energy whole heartedly. In the present scenario
when everybody seems to be in a hurry there is a need of event
management and to make event successful an apt conference venue.
